Pre-season / Agree together

Rules first. Records second.

Pre-season is a good time to agree a fines list together. The captain and treasurer can put forward a short list. The squad agrees which rules are fair and when exceptions apply. Injuries, financial difficulties and personal characteristics are not reasons to fine someone.

They start with the free football template, discuss it together and enter the agreed categories and amounts in ClubFines. The PDF helps the conversation; it does not import automatically into the app.

After training / Record fines

A record with context.

For an unexplained late arrival, use the amount agreed by the squad. Before recording a fine, the person responsible checks whether there was a reasonable explanation. Only then is the fine assigned to the player.

The player, amount and date stay together in the entry. An authorised person can record it directly instead of later copying a chat message into another list. Each team agrees its own amounts.

After the match / Check payments

Paid means receipt checked.

Payment takes place outside the app. The treasurer checks receipt and then marks the fine as paid. A promise in the group chat is not yet a confirmed payment.

Captain and treasurer can share the work through separate administrator access. Other members can be given read-only access. A player profile itself does not require an individual account.

Season end / Hand over

Plan for the next person.

Before closing the season, the treasurer reviews outstanding entries with the squad. They resolve mistakes, reconcile received payments and write down what the next person needs to follow up.

Fines can be organised by season. Pro PDF and CSV exports can support the handover. They do not replace complete club accounts or a check of the money actually held.
